- Encrypted in transit and at rest. Your data is protected at every step, on its way to us and while it’s stored.
- A signed Business Associate Agreement. Our cloud infrastructure provider is held to the same HIPAA obligations we are.
- We never sell your personal information. And we never share identifiable data for advertising. Full stop.

How Your Voice Data Is Handled
Recording your voice asks more of you than tapping a mood button. So here is exactly what happens to it, start to finish.
The short version
Your recording is analyzed for how it sounds, not for what you said. No transcript is ever made. The audio is deleted within 24 hours, once your results are back. Only the results are saved, and only you can see them.
What happens when you record
- You record. You speak for a short check-in. You can use a prompt or say whatever is on your mind. We need about 45 seconds of speech to analyze.
- It goes to the analysis. The audio is sent over an encrypted connection, and it’s used for one thing: that single check-in.
- It’s analyzed for sound, not words. The analysis reads acoustic patterns: tone, rhythm, the way your voice carries. It does not convert your speech to text. There is no step where anyone or anything reads what you said.
- The recording is deleted. The audio is deleted after the analysis, once your results are delivered, and always within 24 hours. It isn’t kept for troubleshooting, for support, or for any other reason. What’s left is a small set of numbers behind your Mood, Stress, and Overall Wellness results.
What goes with your recording: nothing that identifies you
Your name, your email, your phone number, and your VillageFor login never leave with the audio. It travels with a random ID instead.
Canary Speech, the company that runs the analysis, holds numbers attached to that random ID. They’re not permitted to keep anything that connects that ID to a person, and they don’t have your details to connect it to. The link between your check-in and your account stays on our side.
What never happens to your voice
- It’s never transcribed. No speech-to-text, no transcript, no record of the words you used, and nothing built to reconstruct them later.
- It’s never used to train anything. Not to build models, improve products, run research, or benchmark performance. That restriction covers the recording, the results, and everything derived from them. It’s written into our contract with Canary Speech, and it stays in force even if we stop working with them.
- It’s never sold. Not to advertisers, not to researchers, not to anyone, for any amount.
- It’s never combined with other companies’ data, and no one is allowed to try to work backwards from the results to identify you or contact you.
- No one listens to it. The audio is deleted after the analysis and isn’t kept in backups, analytics tools, support tickets, or test systems.
What’s saved
Your results. The Mood, Stress, and Overall Wellness ranges from each check-in, stored in your VillageFor account so you can see how your patterns change over time.
They’re visible to you. Not to your partner, not to a provider, not to other people using VillageFor.
Deleting your results
Go to Settings, then Voice Journal, then Delete saved results.
We remove them from your account, and we request deletion of everything Canary Speech holds for those check-ins. They treat that as complete and unrecoverable deletion, confirm it back to us in writing, and complete it within ten business days. Copies sitting in encrypted backups are locked away from any further use and permanently erased on a fixed schedule, within 90 days at the outside.
You can also turn off microphone access or withdraw your consent at any time, in the same place.
Where your data lives, and how it’s protected
Analysis runs in Microsoft Azure, in the United States. Your data is not moved outside the US, and it isn’t accessed from outside the US.
Everything is encrypted in transit and at rest. Access is limited to the few people whose job requires it, protected by multi-factor authentication, and logged. Canary Speech holds HITRUST certification and ISO/IEC 27001 certification, tests its systems through independent security reviews, and has to tell us within 24 hours if anything goes wrong.
Who does the analysis
We don’t do the voice analysis ourselves. It’s done by Canary Speech, a company that specializes in reading health and wellness signals from the sound of a voice. Their job here is narrow on purpose: turn audio into a few numbers, then delete the audio.
We have a HIPAA business associate agreement with Canary Speech covering how this data is handled. On top of that, our contract with them is deliberately restrictive. They can use your recording to run the analysis and for nothing else. We review their security certifications every year, we have to approve any change to who touches this data, and we can end the relationship if they can’t meet the standard.
What Voice Journal is, and what it isn’t
Voice Journal gives you wellness information. It is not a diagnosis and not a substitute for care from a clinician. A result reflects one recording on one day.
If something in your results doesn’t match how you feel, trust yourself first. If you’re struggling with something bigger than a check-in, talking to a provider you trust is worth more than any snapshot.
Questions about any of this? Email privacy@villagefor.com. We’ll give you a straight answer.
Usage Analytics
If you turn on usage analytics, VillageFor collects information about how you interact with the app, such as which features are used and general engagement patterns. We use this information to understand how VillageFor is working, improve the member experience, and measure the performance of our features and offers. Usage analytics do not include the content of your journals, Voice Journal recordings, messages, screening responses, or other health information you provide within VillageFor.
Usage analytics are off by default, go only to VillageFor and are never shared with or sold to a third party, use a per-install identifier that is not linked to your account, and are deleted after 13 months. You can turn usage analytics on or off at any time in Preferences.
Data Retention
We retain your personal information only as long as necessary to provide the app or comply with legal obligations. You may request deletion of your account and all associated data at any time.
Your Rights and Choices
Depending on your location, you have the right to:
- Access or update your information
- Request deletion of your data
- Withdraw consent for certain data processing
